We are looking for an experienced, reliable and task-oriented Executive Assistant. The Executive Assistant will be responsible for performing a full range of advanced, diversified and confidential secretarial and administrative duties for the CEO, President, executive staff as well as the accounting and human resources team. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced environment. Roles & Responsibilities

  • Experience exercising discretion and confidentiality with sensitive company and employee information
  • Full administrative support and personal assistance for CEO, President, and executive staff
  • Provide a wide variety of administrative activities in support of human resources and accounting teams
  • Assist in the recruiting and hiring process by placing ads on career sites and other local workforce agencies. Ensures completeness of applications and schedules interviews as needed. Conducts reference and background checks as required
  • Perform filing, data entry, generating and maintaining confidential employee files, initiating and processing all personnel paperwork and employee account set ups
  • Assist in accounting duties such as accounts receivable, accounts payable, wire transfers, and account reconciliations
  • Manage the process of legal document coordination
  • Responsible for developing and maintaining a portion of the company’s annual budget
  • Review corporate credit cards to ensure that all business expenses are coded to the correct accounts and input into the accounting system
  • Prepare and submit expense reports and timesheets for leadership team in a timely manner
  • Coordinate and maintain executive’s calendars by planning, prioritizing, scheduling meetings, appointments, conferences, etc., as needed
  • Arrange and manage all corporate travel and accommodations for staff
  • Perform general day-to-day office duties such as, but not limited to, answering incoming calls, ordering supplies, organizing materials, maintaining inventory, general housekeeping, coordinating maintenance, and ongoing communication with building management
  • Coordinating activities for office staff including all travel, accommodations, activities and meals for corporate events
  • Participate in regular staff meetings and present relevant information to team
  • Monitor door access, greet visitors, and maintain visitor logs
  • Perform additional duties as assigned

Desired Qualifications

  • 3+ years proven work experience as an advanced Executive Assistant
  • Proficient with office administration software and tools (i.e. iOS, MS Office, ADP, email, instant messenger, video conferencing, multi-line office phone systems, internet browsers, cloud-computing, finance and accounting systems, CRM and other business applications)
  • Experience working with confidential and sensitive information, specifically finance and human resources information
  • Hands-on experience with spreadsheets and accounting software tools (Quickbooks and Deltek)
  • Ability to support multiple executives
  • Full comprehension of office management systems and procedures
  • Ability to constructively work under stress and pressure when faced with high workloads and deadlines
  • Demonstrated ability and capability to quickly learn and adapt to new or unknown technologies that add value to job and office performance
  • Articulate and professional, excellent written and oral communication skills
  • Detail oriented
  • Associate’s degree or certification from a business school or college education preferred
  • Meets attendance and punctuality standards
